Software for wholesalers and distributors: B2B orders, field sales reps and ERP

A wholesaler or distributor usually takes orders through several channels at once: customers order by phone and email, and sales reps collect orders in the field. When every channel ends with retyping into the inventory software, mistakes and handling time go up. The fix is one system: a B2B portal where customers order on their own, a CRM for sales reps with the catalog and orders on their phones, and a connection to ERP and KSeF. We build B2B portals from 3,550 EUR net, CRMs from 11,550 EUR net and integrations from 1,400 EUR net.

Signs you have this problem

  • Orders come in by phone, by email and from sales reps, and each one has to be retyped into the inventory software.
  • Sales reps come back from visits with notes, and the office only finds out about an order once they are back.
  • Customers call to ask about the status of their order or about an invoice.
  • Prices for different customer groups sit in a spreadsheet that only one person knows their way around.

What we build for wholesalers and distributors

  1. B2B portal for customers

A business customer logs in, sees the products and prices meant for them, places an order and downloads documents. Order history and status are in one place, so they don’t have to call.

  2. CRM for field sales reps

A visit log, a catalog of products and bundles, and orders placed from the phone, even with no signal. That is how the sales reps of ScanVet, a distributor of veterinary products, work.

  3. Routes and fleet

The office plans routes and sees the cars’ GPS data next to sales data.

  4. Connection to ERP, EDI and KSeF

Orders from the portal and from sales reps reach the inventory software without retyping, and invoices can go straight to KSeF.

Three ways to solve it and when each makes sense

  1. Option 1

B2B module of your inventory software or store platform

When your ERP software or store platform has a B2B module that fits your prices and customer groups.

Pricing logic and screens only as far as the provider planned for. Field sales reps may need a separate tool.

  2. Option 2

Off-the-shelf CRM with a mobile app

When the problem is mainly sales reps’ visits, and orders reach the ERP anyway.

A subscription for every user. Check whether the app works with no signal and whether it can pass orders on to your ERP.

  3. Option 3

    One custom system

When customers, sales reps and the warehouse should work on the same data, with your prices and a connection to your ERP.

A higher cost to start with, but no per-user fees and no retyping of orders between systems.

How it works in our projects

For ScanVet, a distributor of veterinary products, we built a CRM where sales reps’ visits, orders and notes land in one system, and the office sees routes and the fleet’s GPS data next to sales data. Reps work with no signal too, and the data syncs on its own.

Siyami’s Meat sells wholesale and retail in one store: business customers enter their tax number for the invoice at checkout, and restaurants work out their demand and cost per serving on their own, before asking for a quote.

Frequently asked questions

How is a B2B portal different from an online store?

A store is for everyone, while a B2B portal is for regular business customers after they log in: with their own prices, order history and documents. The two can be combined in one system.

Will orders reach my inventory software?

Yes, if the software can be connected (via an API, EDI or file exchange). We price ERP integrations from 1,400 EUR net, after checking how your software accepts data.

Can sales reps work without internet access?

Yes. In the CRM for ScanVet, reps log visits and orders with no signal, and the data syncs once the connection is back. The reps also have an Android app.

Can the invoices go to KSeF?

Yes. An invoice issued with the order can be sent to KSeF straight away. From January 1, 2027, KSeF is mandatory for everyone, and an active VAT payer paying another active VAT payer by bank transfer must give the invoice’s KSeF number (as the law stood on October 12, 2026).

How much does it cost and how long does it take?

A B2B portal from 3,550 EUR net, a CRM from 11,550 EUR net and integrations from 1,400 EUR net, with no per-user fees. We deliver the first working module after 2 weeks, and you get a schedule and a fixed price after the requirements analysis.
